Traditional Paper Photographs

If you have traditional paper photos you could either post them to me by traditional post or convert them to a digital format in order to e-mail them:

Send by Post
If you prefer to send your original paper photos by post then please email me first to see if I can meet your deadline and then I'll e-mail you my postal address. If your original photos are precious then you may wish to make a copy or send them by Registered Mail when posting them.

If you don't wish to send the original paper photos by post then you may be able to convert them into digital photos (see below)...

1. Taking a close-up digital photo

If your camera has a macro setting you may be able to take a digital format photo of your paper photo.

  • Set you camera resolution (Picture size / Quality) to a medium setting and Macro Setting On.

  • Ensure your flash is turned off and set up your photos in a well-lit area on a flat surface.

  • With a steady hand take your photo directly above your paper photo. If a reflection is visible in the photo then you may have to move slightly to one side to take the photo.

2. Scan your paper photos

If you have a scanner at home or work you could scan your paper photos and save them in jpeg format as digital photos.

Follow your scanner guidelines:

  • Set the resolution to approximately 200 ppi or 200 dpi (pixels / inch).
Higher resolution will mean better quality.
Lower resolution means a smaller file size quicker for emailing.

  • Scan the photo.

  • Click Save As, give the picture a new file name, and save it in JPEG format.

  • Click OK.

  • You are now ready to attach your digital photo to an e-mail >...

Tip: Many employers now have scanning / printing facilities which may be available for private use by staff for free or at a reduced cost.

3. Take your paper photos to a camera or printing shop.

If you don't have a digital camera or scanner then you may wish to take your paper photos to a camera shop or printing/graphics service and ask them to convert your photos for you. Prices may vary so it is advisable to compare prices beforehand.

Ask them to copy the images onto a CD in JPEG format. You will then be able to take your CD home and attach the digital photo files to an e-mail.

Tip: Many employers now have scanning / printing facilities which may be available for private use by staff for free or at a reduced cost.

E-mail your Digital Photographs

Digital pictures are often large files depending on what settings you choose on your digital camera. Ideally set your camera to a small / medium setting (Picture Quality / Size) which should give you a photo of about 400 kB in size. This will often retain enough detail while being small enough to easily e-mail.

If your picture is much larger than 1000 kB you may need to resize it to help speed up your e-mail. Otherwise you can send your photo file as it is.

Resizing your pictures

What you'll need:
  • The digital pictures you wish to send
  • A computer with Internet access
  • Picture-editing and e-mail programs

Following are generic instructions for reducing the resolution (making the picture smaller) in a number of picture-editing programs. The steps may vary slightly depending on the program.

  1. Open the picture in a picture-editing program.

  2. Open the Image Size or Resize dialog box, which is usually located in one of the toolbar menus.

  3. Set the resolution to 200 ppi or 200 dpi (pixels / inch).
Higher resolution will mean better quality.
Lower resolution means smaller file size quicker for emailing.

  4. Set the dimensions to around 4 x 6 inches, 1000 x 1000 pixels.

  5. Click OK.

  6. Click Save As, give the picture a new file name, and save it in the JPEG format.

Attaching your pictures to an email

After you adjust the resolution so that the photos file is between 400kB to 1000kB, open your e-mail program or click on the link below to find my e-mail address:

Most programmes have an attach file option:

1. Insert > File

2. Or look for an attach button.

3. Or look for a Paper-Clip button to attach the file.

When your photo file is attached and you have written your portrait requirements then send me the e-mail and I'll reply as soon as possible, hopefully no later than the next day.
